Travel to Lexington
Lexington, Kentucky is accessible by air at Bluegrass Airfield (code: LEX) served by American Airlines, Delta, United Airlines, and US Air. Participants who plan to attend the conference should arrive on Wednesday May 14. The workshop will dismiss by Friday at 12:00 Noon. Domestic participants should be checked out of conference housing on the morning of Friday, May 23. Participants coming from abroad should check out of conference housing on the morning of Saturday, May 24. Please contact the organizers if you have any questions.
Conference Housing
The conference has reserved on-campus housing in Roselle Hall with priority given to graduate students and young postdoctoral researchers. Accomodations include a private room and shared bath and the cost is approximately $50 per night. Please register early if you wish to book conference housing! If you prefer to make your own arrangements, you can consult the resources here. We recommend the University Inn and Holiday Inn Express, both within walking distance of campus. Be sure to ask for the University of Kentucky rate.
Travel and Local Expense Support
Nonresident aliens should read very carefully the information below about required documentation! If you do not supply the required documentation, we cannot reimburse travel expenses.
Graduate students and postdoctoral researchers can apply for a reimbursement of up to $500 for travel expenses and up to $500 for local expenses. Those applying for travel support should e-mail documentation of their travel expenses (including evidence of credit card payment) prior to the conference so that we may budget and process travel requests as quickly as possible.
Nonresident aliens (i.e., those who are neither U.S. Citizens or permanent residents) must provide the following documentation prior to your departure:
(1) A copy of your passport
(2) A copy of your visa or I-94 form
Visitors who are residents of Canada or Mexico must request an ESTA form prior to arrival. Please go here for complete directions. If you do not obtain an ESTA form prior to your travel, we cannot reimburse your ticket! A copy of the ESTA form will serve in lieu of a visa or I-94 form.
There will be no reimbursement for meal expenses. Those staying at Roselle Hall who receive conference support will have their lodging expenses direct-billed to the University of Kentucky; all other lodging will be supported on a reimbursement basis.
Senior researchers (other than those leading working groups or giving tutorial lectures) will be expected to provide their own travel support.
